Our Commitment to Privacy

SimplylocalX prioritizes user privacy in designing its hyperlocal community platform and digital signage solution. The company collects minimal necessary personal information and grants users maximum control over data visibility. This Privacy Policy covers apps, websites, digital signage products, features, software, and services collectively termed "Services."

Using SimplylocalX

  Users can access as certain Services (viewing signage, browsing public posts) without accounts. Interactive features (posting, joining groups, managing signage) require registration.

Information We Collect

  Account Creation

  - Email address (mandatory, private)

  - Name (optional, private)

  - Profile picture (optional, displayable in reduced size, hideable)

  - Digital signage customer data (business name, contact details, location, content)

  - Callsign/username (publicly visible)

Digital Signage Specific Data

The company does not store displayed screen content except user-uploaded material. System usage logs (device status, software version, uptime) are retained for support and diagnostics. Basic analytics track update frequency.

Location Information

 The platform does not track location. Only neighbourhood networks users select are stored. Digital signage customers voluntarily provide locations for placement management.

Usage, Log & Device Data

  Collected information includes diagnostic data, device specifications, IP addresses, network information, and connection logs for platform reliability and security improvement.

Instagram Integration

  Our Services allow users to connect their Instagram accounts to noticeboards for displaying Instagram content on digital signage screens. When you connect your Instagram account through Meta's Instagram API, we collect and store the following data ("Platform Data"):

  - Instagram User ID - Your unique identifier on Instagram

  - Instagram Username - Your public Instagram handle

  - Access Token - An authentication token that allows our app to access your Instagram content on your behalf, stored in encrypted form on our servers

  - Media Data - Your Instagram posts including images, videos, captions, timestamps, and permalink URLs

  This data is used solely to sync your Instagram content to the noticeboards you choose within our digital signage platform. We do not use Platform Data received from Meta for any purpose other than providing and improving the Instagram-to-signage integration within our Services.

  Instagram content is synced only when you explicitly link your Instagram account to a noticeboard. Only noticeboard administrators or owners can initiate this connection.

Data Retention

  - Account information (email, name, profile picture) is retained for as long as your account is active.

  - Instagram access tokens are valid for 60 days and are automatically refreshed. Tokens are deleted immediately when you unlink your Instagram account or revoke access.

  - Synced Instagram media data (posts, captions, media URLs) is retained for as long as your Instagram account remains linked to a noticeboard. When you unlink, this data is anonymized or removed.

  - System and diagnostic logs are retained for up to 90 days for troubleshooting and platform reliability purposes.

  - Data deletion request records are retained to provide confirmation of completed deletions as required by law.

  When your account is deleted or you revoke Instagram access, we anonymize or delete your personal data within 30 days, except where retention is required by law or for legitimate record-keeping of deletion confirmations.

Data Deletion and Your Rights

  You have the following rights regarding your personal data:

  - Access - You may request a copy of the personal data we hold about you.

  - Rectification - You may request correction of inaccurate personal data.

  - Deletion - You may request deletion of your personal data at any time.

  - Data Portability - You may request your data in a portable format.

  - Withdrawal of Consent - You may withdraw consent for data processing at any time. For Instagram data, you can do this by unlinking your Instagram account within the app or by revoking access from your Instagram settings.

Instagram Data Deletion: You may request deletion of your Instagram-related data in any of the following ways:

1. Within our app - Unlink your Instagram account from a noticeboard to stop further syncing. To delete all synced content, delete your Instagram account connection from the app. If multiple users have connected the same Instagram account, synced

   content is deleted only when the last user removes their connection.

2. From Instagram - Revoke our app's access in your Instagram settings. We will automatically process the deauthorization, unlink your account, and delete all synced content from noticeboards.

 3. Via Meta's data deletion request - Instagram forwards deletion requests to us automatically. All synced content is deleted and account data is anonymized. You will receive a confirmation code and a URL to check the status of your deletion.

Legal Basis for Data Processing

  We process your personal data on the following legal bases:

  - Consent - When you create an account or connect your Instagram account, you consent to the collection and processing of your data as described in this policy. You may withdraw consent at any time.

  - Performance of a Service - We process data as necessary to provide the Services you have requested, including syncing Instagram content to digital signage screens.

  - Legitimate Interest - We process diagnostic and usage data to maintain platform reliability and security.

  Prohibited Uses of Data

  We do not use personal data, including Platform Data received from Meta, for any of the following purposes:

  - Surveillance or tracking of individuals

  - Discrimination based on race, ethnicity, religion, gender, sexual orientation, disability, or any other protected characteristic

  - Selling, licensing, or otherwise transferring personal data to third parties for their own purposes

  - Attempts to re-identify de-identified or anonymized data

  - Building or augmenting user profiles for advertising or marketing purposes using Platform Data from Meta

Third-Party Services and Data Processors

  We work with trusted third-party service providers (cloud hosting providers, database services, app stores, map services, analytics tools) who may process limited data on our behalf under strict data processing agreements. These providers are contractually obligated to use your data only for providing services to us and to maintain appropriate security measures.

When you connect a third-party account such as Instagram, that platform's own privacy policy governs their handling of your data. We encourage you to review the privacy policies of any third-party services you use.

Managing Your Information

Users can modify profile details, hide pictures, delete posts, and exit groups anytime. Digital signage customers control uploaded content through management portals.

Security & Encryption

  Personal information receives encryption on servers where feasible. Systems minimize unauthorized access risks.

Cookies

  The service does not use or store cookies.

Children

  Services target users aged 13+ (or minimum required age locally). Minors need guardian consent.

Legal Requirements

  Personal information disclosure occurs only when legally mandated (valid court orders regarding illegal activity).

Changes to This Policy

  Updates reflect service evolution. The current website version represents the binding agreement.
